Sales Tax Exemption Policy

Overview
HMF Express is required by law to collect applicable sales tax on orders shipped to states where we have nexus, unless the purchaser provides a valid sales tax exemption certificate. This policy outlines the requirements for submitting and maintaining exemption certificates on file.
Who Qualifies for Tax Exemption
Organizations that may qualify for sales tax exemption include:
- Resellers purchasing product for resale
- Contractors purchasing materials for exempt construction projects (varies by state)
- Government entities (federal, state, and local)
- Qualifying non-profit organizations
- Other organizations with state-issued exemption status
Qualification requirements vary by state. It is the purchaser's responsibility to determine eligibility and provide the correct documentation.
How to Submit an Exemption Certificate
To apply a sales tax exemption to your account:
- Obtain the appropriate exemption certificate for the state(s) where your orders will be shipped.
- Complete the certificate fully, including your business name, exemption reason, and signature.
- Send the completed certificate to your regional HMF Express sales representative or to our accounting department at sales@hmfexpress.com.
- Certificates will be reviewed and applied to your account within 2–3 business days.
Certificate Requirements
Exemption certificates must be:
- Issued by the state where the product will be delivered
- Complete, signed, and dated
- Provided prior to or at the time of purchase
- Renewed when expired or when your exemption status changes
HMF Express cannot apply exemptions retroactively to invoices already issued. If you believe tax was incorrectly charged, contact your sales rep within 30 days of the invoice date.
